Required Qualifications (as evidenced by an attached resume):
Associate's degree (foreign equivalent or higher) and two (2) years of progressively responsible, full-time administrative experience. Experience with Microsoft Suite programs (Word, Excel, Publisher, PowerPoint, etc.). Experience with office calendars. Experience with handling confidential documents.
Bachelor's degree (foreign equivalent or higher). Additional years (3+) of progressively responsible, full-time administrative experience. Experience in a Higher Education/Academic environment. Experience with and knowledge of Stony Brook University policies & procedures.
Brief Description of Duties:
Perform a variety of administrative assignments, often confidential in nature for the Office of Economic Development.
The successful incumbent will have excellent customer service and interpersonal skills, exercising strong organizational and time-management skills with exceptional attention to detail. Essential for this role is the adeptness to work independently as well as part of a team with a collaborative approach to problem-solving.
Greet guests, answer the main phone line and direct calls to the appropriate area. Arrange FedEx and UPS deliveries. Arrange logistics for various meetings, including catering and preparing informational packets for distribution.
Provide administrative support for senior staff - answer phones, manage calendars, and make travel arrangements and reimbursements. Serve as back-up to the Executive Assistant to the AVP and manage the AVP's calendar as required.
File confidential HR and Finance documents. HR - assist with HR matters such as maintain a database of employee contact information, assist with student hires, assist with temporary staffing needs by tracking existing temporary staff assignments, renewals, terminations, and new assignment requests. Assist with budget and expense matters related to employees and major programs.
Provide support as needed for programs (such as State Certified Incubator, StartUP NY, Innovation HotSpot, business plan competitions, and others).
Schedule, attend and keep minutes of primary standing ED operational meetings. Responsible for the logistics of the meetings, including but are not limited to attendee invitations, speakers/presenters and agenda.
Assist in organizing and tracking work for the preparation of large grant proposals and submission.
Assist with events, including tracking participants, sending correspondence, tracking contributions and assist with logistics such as registration, badges, and event support.
Other duties as assigned.
