Work Schedule: Monday -Thursday 12:00 pm - 6:30 pm; schedule may temporarily change based on office need (24 hours per week based on a 0.60 full time equivalent).

Typical Activities Under the direction of the Director and general supervision of the office leads, the incumbent will perform a variety of general office clerical and medical records related duties in support of the Counseling and Psychological Services Center. Incumbent will perform the following:
Performs front counter reception duties such as greeting, checking in clients to CAPS and assists students with filling out their intake forms online or in hard copy if necessary.
Answers telephone and routes calls to appropriate areas.
Schedules client appointments by phones or in person.
Performs basic and routine clerical tasks.
Assists in the closing of the center.
Assists in opening the center as needed.
Verifies patient demographics; assists with the updating of patient information.
Applies skills and knowledge of all Guidelines and Procedures related to the front office and HIPAA regulations.
Verifies and confirms student enrollment for eligibility.
Performs other related duties supporting the daily operation.
Provides administrative support to the Administrative Support Coordinator.
Provides administrative support to the Counselors.
Provides administrative support to the Director (as needed).
Ensure waiting area is maintained in a neat and orderly manner.
Process and maintain incoming and outgoing documents in and out of the office.
Other Duties as assigned.
Minimum Qualifications Education and Experience:
These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with a minimum of one (1) year of related office work experience.
Knowledge, Skills and Abilities:
Experience to be fully functional in all technical aspects of work assignments; thorough, detailed knowledge of applicable university infrastructure, policies, and procedures
Thorough knowledge of English grammar, punctuation, and spelling; thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages; ability to independently handle multiple work unit priorities and projects
Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature
Ability to operate standard office equipment; an ability to learn office technology systems
