Department Description General Internal Medicine (GIM) is one of nine divisions in the Department of Internal Medicine. THIS IS NOT AN H1- B OPPORTUNITY ResponsibilitiesThe Administrative Assistant III provides administrative support for select GIM faculty, managing calendaring, meeting scheduling, travel, purchasing and reimbursements. Coordinates the division's faculty mentorship program, and division events and meetings. Acts as primary division contact for purchasing and reimbursements, and as facilities and operations coordinator. Coordinates credentialing, billing and CMS time study applications, renewals and reports. Creates and updates division websites and content. Provide cross coverage to other GIM staff, as well as facilities and operations support for the division. Required Qualifications
At least two years administrative experience in executive support role
Demonstrated exceptional customer service and interpersonal skills
Demonstrated superb typing and formatting skills to quickly and accurately produce correspondence and other written materials
Demonstrated superb writing, editing and proofreading skills to draft professional correspondence and materials, and develop compelling copy and content for division website and other media
Experience and skills using various software applications (in particular, advanced skills in Outlook, Word and Excel)
Excellent verbal communication skills to effectively and professionally communicate to internal and external constituents.
Strong time management, organizational, and multitasking skills
Demonstrated political acumen to work in an executive-level office environment, with ability to represent the division and faculty with professionalism, tact and discretion to all constituents
Ability to anticipate problems/ roadblocks and associated consequences, and take appropriate initiative on behalf of the Division Manager/ faculty
Ability to work occasional after hours or overtime in order to support division or faculty events
Bachelor degree and/ or equivalent experience, preferably in business or related field
Previous experience working with physicians in a healthcare setting, including work related to credentialing and/or billing
Experience and skills to efficiently and effectively manage multiple, complex electronic calendars
Experience and skills creating and/ or editing websites and pages, including HTML troubleshooting and coding
Experience using Adobe Photoshop/ related image editing apps
Demonstrated knowledge of Health System and UCD policies and procedures
Experience using online/ other project management tools and apps to track tasks, create project plans and reports (e.g., Trello, Asana Special RequirementsThis position may be subject to a criminal background investigation, drug screen, Live Scan fingerprinting, medical evaluation clearance, and functional capacity assessment.
