Position Description: Under the general direction of the Accounts Payable Supervisor, the Accounts Payable Specialist performs a variety of assignments related to payments to individuals and income tax reporting for disbursements made by central Accounts Payable Department: The Accounts Payable department is responsible for processing all non-payroll expenditures and asset purchase transactions for UCLA, the largest campus in the University of California System, amounting to over $1.5 Billion dollars and 600,000 transactions annually. Additionally the department processes accounts payable transactions for UC Merced and UC Office of the President.
The Accounts Payable Specialist has the responsibility of the State (FTB) and Federal reporting for UCLA, UCOP, OTT, UC Press and UC Merced. The Specialist is responsible for safeguarding and managing sensitive and confidential personal and financial information. The Specialist is responsible for issuing year-end 1099 MISC, corrections and other periodic reporting to Employment Development Department and other regulatory agencies. The incumbent has the responsibility for the reporting and issuance of payments of Franchise Tax Board (FTB) taxes withheld from UCLA, UCOP, OTT, UC Press and UC Merced vendors. The Specialist instructs campus departments ensuring proper application of University policy and procedures to these payments, proper documentation and proper tax withholding and reporting. The Specialist also oversees compliance with withholding and reporting of payments to nonresident aliens
The Specialist is responsible for processing general payments for the University as well as specialized transactions resulting in payments to employees and individuals for services or sales to the University including highly sensitive settlement payments. The Specialist handles specialized tasks such as processing vendor refunds, handling forgery complaints, processing special agreement invoices, and replenishing petty cash funds.
The Specialist will provide support to campus departments on policies and procedures related to Accounts Payable transactions. The incumbent will participate with other individuals and departments to give input to improve processes and systems to accomplish specialized processing tasks. The incumbent will work in coordination with the Accounts Payable Supervisors to ensure coordination of payments to or on behalf of individuals providing services or goods to the University. The Specialist will participate in Bruin Buy system training and support in coordination with the Purchasing Department and Information Technology Services.
