As a member of the Donor Services team, this position is responsible for processing, verification, receipting of gifts/memberships to the Minnesota Landscape Arboretum Foundation. Responsible for complex gift transactions and quality control. Requires in depth knowledge of gift administration policy, Altru database system, scanning and imaging. Position uses sound judgement to apply consistent policy to unique and individualized gift and membership transactions. Hours are typically Mon – Fri during the day but could require working some events and weekends as needed.
Responsibilities Research, analyze, verify and process gifts/memberships and data management. Performs a key role in decision-making process for gifts and memberships (50%). â— Use Altru database; research donor information, add new donors, gift/membership entry and enhance existing data â— Analyze gift information for correct fundraising hierarchy account recorded and identify specific coding and payment types (pledge, matching gifts, stock gifts, cash/check/credit card, and deferred gifts). â— Evaluate and apply gift policy guidelines to unique non cash gifts (gift-in-kinds, estate gifts, stock, donor advised funds, etc.) for efficient processing; research and get information from the database, Development Officers or the Web to ensure proper recording of the gift â— Quality control check on gifts and membership â— Inform Finance Manager and Director of Development of IRS rules as they relate to gift recording and receipting. â— Responsible for imaging all gifts and donor agreements and documentation â— Gift administration process for web, on-site, lockbox and mail â— Consult with Development Officers on gift and/or gift policy if exceptions are required â— Consult with Membership Manager on membership policy entry changes when needed
Correspondence with Donors, Corporations, Banks and Staff (25%) â— Respond to questions and advise Development staff on gift processing issues. â— Produce acknowledgement letters using Altru and Microsoft Work mail merge; includes communication on pledge balances, gift histories, problem resolution, fund balances, memorials/tributes, and tax letters â— Consult with Director of Development on acknowledgement letters and processes â— Consult with Director of Development on processing pledge information; produce monthly pledge reminders and possible online â— Correspondence with Donors, Corporations and Staff â— Handle stock gifts received via brokerage firm â— Proof, print and distribute membership cards at all levels â— Act as donor services team liaison when needed
Review gifts/memberships and overall gift activity for timeliness, errors, data integrity and compliance with policies (10%) â— Identify errors and issues with gift administration and gift entry and inform staff â— Make system corrections if it is in the control of the donor services team â— Resolve outstanding issues â— Process automation when possible â— Maintain a gift retention and image retention system
Team lead donor Services and other duties assigned (15%) â— Team lead for Donor Services with collaboration with the Arboretum Finance Manager to work on performances, training and schedules â— Maintain a strong collaborative and service orientated team â— Lead and/or participate in special projects such as Gala registration and table seating â— Assist with creation of processing manual, internal tool kits gift aids, and gift entry â— Training of staff and volunteers â— Provide back-up coverage as needed â— Manage workflows to ensure deadlines are met â— Manage team of volunteers along with their workflows
Required â— Bachelor’s degree in Business Administration or combination of education relevant administrative experience to total six years â— Demonstrated intermediate skills using, Word, Excel, Email and Internet â— Database administration including data entry, data integrity, imaging, and query reporting â— Demonstrated ability to download and manipulate data for correspondence and reporting purposes â— Problem solving and research skills â— Excellent customer service skills, including written and verbal communication skills â— Demonstrated experience working with confidential material â— Strong attention to detail
Preferred â— Experience working in a team environment with team lead skills â— Familiarity with new technologies and ability to adapt to change â— Experience in gift administration â— Experience working with non-profit environment â— Experience with Raiser’s Edge and/or Altru software American with Disabilities Act (ADA) requirements â— Office environment including standing and sitting at desk, use of computer, occasional lifting of approximately 10 pounds.
