Position Summary and ResponsibilitiesThe Administrative Assistant provides administrative and operational support to foreign language and literature departments, with primary responsibility to the Departments of Hispanic Studies, Italian, and Russian Studies and to the Self-Instructional Language Program. This temporary position serves as a primary contact for students, faculty, and guests and assists the Chairs and faculty of all four areas with all administrative functions.
Tracking departmental budgets;
Training and overseeing student assistants, including time sheets for student workers;
Managing department calendars, including scheduling and orientation for academic interns and foreign language teaching fellows;
Maintaining schedules for use of classrooms and lounges;
Responding to inquiries;
Coordinating department lectures, visits, and events;
Assisting faculty with course preparation and professional travel arrangements;
Entering information into department databases and website;
Establishing and maintaining records, such as student information, honors analyses and department prizes;
Scheduling appointments and visits;
Assisting Chairs in staffing plans, course masters and other departmental tasks;
New faculty searches and scheduling campus visits;
Coordinating travel, logistics, payments, and scheduling related to the Self-Instructional Language Program;
Updating course catalog copy and department handbooks;
Requesting routine building maintenance;
Maintaining supplies and office equipment;
Coordinating the work of student assistants with professors;
Works with other departments on campus including Accounts Payable, Registrar, Purchasing, Study Away, Human Resources, and Campus Activities;
Other duties as assigned.
This is a temporary full-time position through May 19, 2020.
Qualifications Qualifications: Two to four years of administrative support experience and/or training; Strong computer skills are required including proficiency with Microsoft Word, Microsoft Excel, e-mail and internet browsers; Mandatory Banner proficiency and proficiency with desktop databases (e.g., Filemaker Pro) preferred; Excellent written and verbal communication skills and telephone manner are essential; Requires the ability to interact effectively with a diverse community of students, faculty, and staff; Must have a professional, problem-solving demeanor and good judgment and discretion, including the ability to maintain confidentiality; Strong organizational skills, including the ability to effectively manage deadlines and multiple, competing priorities required; Must be able to work independently.
