Position Summary and ResponsibilitiesReporting to the Director of the Office of Community Engaged Learning (OCEL), the Administrative Assistant will provide administrative, operational, and programmatic support for the Andrew W. Mellon funded grant to develop Community-Engaged Intensives in the Humanities. The Administrative Assistant serves as the primary contact for students, faculty, and community partners and assists with all administrative functions specific to the grant initiatives objectives. This position is part-time, 20 hours/week for the full year and eligible for benefits. This position is a limited term position with an end date of August 31, 2023.
Working with the Director of the OCEL (co -PI of the grant), and Administrative Director of the grant in the coordination of events and workshops on campus and off.
Working with the Director of the OCEL, and Administrative Director in the publicity of events and workshops on campus and off.
Reserving and managing spaces in EMS and related work orders with Facilities Operations and Media Resources.
Completing appropriate transactions in Workday specific to Procurement Card transactions and Expense Reports.
Processing payment(s) for vendors related to program events.
Working with the Director of the OCEL, and Administrative Director to collect grant report materials and organizing them in Google Docs and Sheets.
Scheduling meetings of the Steering Committee and preparing materials as needed.
Scheduling and providing logistical support for campus visits by community partners and events organized by the office.
Coordinating and taking detailed notes at Steering Committee meetings.
Coordinating transportation requests related to CEIH Intensives for students and faculty.
Other duties as assigned.
Qualifications Qualifications: Two to four years previous administrative support experience and/or training; Strong computer skills are required including proficiency with Mac platform environments, Microsoft Word, Microsoft Excel, Google's suite of tools (gmail, calendar, drive, docs, etc.), Workday (or comparable database systems), and a variety of email and internet browsers. Must be open to learning new software as needed; Excellent written and verbal communication skills and telephone manner are essential; Ability to interact effectively with a diverse community of students, faculty, employees and visitors; Ability to effectively manage deadlines and multiple competing priorities in a fast-paced environment while maintaining attention to detail and exercising good judgment; Must exercise discretion and maintain confidentiality; Must maintain a professional problem solving demeanor during sometimes stressful situations; Ability to work independently and with other departments on campus including but not limited to, Accounts Payable, Registrar, Purchasing, Student Employment, Human Resources, Facilities Operations and Campus Activities, and the Grants Office.
