The UC Berkeley Library is seeking an experienced events specialist to lead the Library's efforts to showcase the organization's value and accomplishments through event activities. We are looking for an Events Coordinator who can manage some or all of the programming, reservations, customer service, and communications aspects of the Library's rich and diverse events. And we have a pretty remarkable venue to host these activities. The university's living room, Morrison Library, is one of the most revered event spaces on campus. The Library Events Coordinator will manage Morrison Library as an event space. She/he will coordinate reservations, walkthroughs, catering, vendors, rentals, AV support, and communication with clients and Library stakeholders for all Library and non-Library events hosted in this space. She/he will be the on-site Library representative for most Morrison Library events and will also manage reservations for other Library events spaces (i.e. outdoor spaces, meeting rooms, Moffitt Library spaces). She/he will oversee compliance with campus event rules and regulations, and coordination of both payments of bills for Library events and receipts of rental payments from other departments on campus. In addition, the Events Coordinator has the opportunity to design and implement part or all of our Library-wide events (such as celebrations of special collections, gallery openings, and conferences) and the Library's participation in campus-wide activities (such as Cal Day and Homecoming). She/he will work with others to develop and execute publicity plans and outreach related to Library-hosted events. She/he will hire, train and manage events student employees. She/he will manage events calendars and hours listings.
Consults with clients on all details regarding events and event planning. Juggles and organizes a number of different tasks and events in various stages of planning. Demonstrates good judgment in making decisions and managing events.
Coordinates room reservations, catering and other vendor requests with internal and external clients. Organizes paperwork and billing before and after events.
Ensures smooth-running, effective events, including successfully recognizing and resolving potential and real problems in a timely manner using tact, sensitivity, discretion and political acumen. Determines and coordinates staffing needs.
Contributes to and participates in long-range event planning and event publicity efforts. Required Qualifications
Thorough knowledge and understanding of concepts, principles and practices of event planning and public relations, including event design, organization and production.
Skill in effectively meeting budget and time constraints.
Demonstrated organizational and project management skills to work successfully with clients to produce high quality events that meet client needs and appropriately represent the Library and campus. Ability to juggle multiple projects at the same time.
Highly developed interpersonal communication skills including political acumen and social perceptiveness. Ability to work in a high-pressure environment.
Exceptional project management and organizational skills.
Highly developed judgment, decision-making and problem recognition/avoidance/resolution skills, including skill in determining those issues/problems that need to be brought to management's attention. Ability to effectively deal with problems in the moment at an event.
Ability to balance Library needs with client needs in an effort to produce a positive outcome for all involved.
Experience working with many different vendors and collaborators, including catering, rentals, facilities, business services, event hosts, communicators.
Ability to work early mornings, nights and weekends.
Minimum of three years experience in the events field. Preferred Qualifications
Knowledge of events communications tools.
Understanding of UC Berkeley policies related to event planning or the ability to learn. Salary & Benefits
The annual salary range of the position is $60,800.00 - $75,000.00, commensurate with experience.
