Serves as University ProCard Administrator and is responsible for creating and maintaining ProCard accounts. This position will provide online access to supply accounts and oversight of the Staples Office supply account for the University.
Coordinate clerical and administrative support functions for the Director and department, performing a full range of administrative support functions.
Assignments and projects are varied and complex with short-term and long-term goals.
Administrative support projects often involve coordinating, prioritizing, and monitoring through their completion with accountability, for results and including follow-up on work performed by others.
Incumbent may be involved in planning and coordinating work in the unit, providing training and assistance to customers and in completing purchase requests with campus constituents.
Incumbent may coordinate and work with individuals at all levels within the organization and may provide training to all levels in standard university procurement policies and procedures.
Minimum Qualifications Knowledge, Skills, and Abilities:
High level of proficiency composing business documents, writing non-routine correspondence.
Excellent organizational skills with attention to detail.
The ability to perform standard business math such as calculate ratios and percentages, track financial data and make simple projections is required.
Credit card program experience, including training cardholders, policy guidance.
Process purchase card applications, create accounts, issue new cards, perform account maintenance, security settings, and terminate accounts.
Ability to analyze information and effectively communicate concepts in written, spreadsheet, and verbally.
Strong skills in Microsoft Suite, Word, Excel, and PowerPoint.
The ability to independently, handling multiple work unit priorities and projects is required.
The ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those of sensitive nature is required along with the ability to work cooperatively with a diverse group of people.
A demonstrated ability to work in a team-oriented environment with a solution-oriented attitude.
Education and Experience:
Incumbent must demonstrate experience in customer service.
Experience in scheduling meetings, taking meeting minutes and preparing the meeting room technology prior to the meeting.
Incumbent must have three (3) years of general office clerical experience.
Experience importing, exporting, manipulating data, and creating reports.
Experience in online systems, policy and procedures training.
High School diploma is required.
Five (5) years of business office experience in procurement, accounting, or finance-related field.
Thorough knowledge of office systems and the ability to use a broader range of technology, systems, and software packages is preferred.
Experience updating web pages is preferred.
Bachelor's Degree is preferred.
A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU.
