The Alumni Association of the University of Michigan (AAUM) is seeking a Development Assistant to join the Development team that is an integral part of the AAUM’s strategic transformation plan. The team is focused on AAUM's philanthropic efforts including fundraising and donor engagement. Provides general administrative support for the day-to-day operations of the Alumni Association’s development team. Responsible for a thorough understanding of development practices and shares a passion for philanthropic work.
Create and update Excel spreadsheets and mail merge documents
Assist with select calendars, set-up team meetings and retreats, and take minutes as assigned
Assist with preparation of presentations
Arrange appointments, tours, parking, and itineraries for campus visitors
Handle copying, faxing and mail responsibilities
Occasional interview coordination and onboarding new team members, including student workers
Serve as first point of contact and response for Development phone calls and emails and take appropriate action to resolve
Provide staff support to the Alumni Association’s Board of Directors and its committees as appropriate
Execute special projects as assigned
Development Operational Support
Serve as the unit DART liaison for all users of the database, submitting access and removal requests, sharing best practices, communicating updates, and representing AAUM at appropriate meetings
Produce routine donor/fund reports via Business Objects and SalesForce for leadership and respond to questions promptly
Serve as a liaison to Gifts & Records and Alumni Relations teams regarding gift processing as needed
Facilitate gift agreement procedures, including working with Stewardship, Gift Officer, and the Office of University Development Legal department to draft and approve gift agreements, route gift agreements for university signatures, draft or request appropriate donor acknowledgement, and ensure gifts agreements are saved and shared properly with donor and imaged to DART
Assist with tracking of matching initiatives
Oversee monthly pledge reminders, and route with gift officers if they are managed prospects
Oversee pledge write-offs and route with Development leadership
Work with Business Office on creating new gift accounts and endowment funds as required, make appropriate updates to online giving system, tag funds for AAUM production counting, and send internal notifications
Assist with weekly gift acknowledgements as needed
Update constituent records in DART database with biographical information and assist team members with engagement tracking
Provide regular assistance with annual giving and stewardship communications, including marketing effort data requests, proofing of marketing pieces, and project requests
Assist with monthly departmental budget reconciling as assigned, including tracking expenditures and forecasting and work with Business Office on adjustments
Major Gifts Support
Conduct occasional prospect research, compile and prepare donor profiles and briefings
Reconcile office P-Cards via Concur for select Major Gift team members
Serve as development team liaison with events team and additional teams within AAUM
Assist event planning staff for AAUM development, football, basketball, and admission events.
Manage all aspects of game day needs and AAUM’s Football Suite, including confirming attendees, maintaining DART records, event catering and materials
Maintain inventory of visit materials and donor swag
Assist with entry of engagement interactions as assigned
General Duties and Responsibilities

Direct supervision is received from the Director of Annual Giving & Development Operations.
May coordinate some work of temporary and/or student employees
Some post-secondary education or equivalent combination of education and experience is required
Two years of office experience
Knowledge and experience working in databases
Strong organizational skills and attention to detail required
Excellent interpersonal skills and strong communication skills required and ability to interact with high-stake individuals over the phone
Ability to work in a fast-paced environment processing a high volume of work, meeting daily deliverable goals while multi-tasking daily responsibilities
Ability to interact with alumni over the phone delivering delightful experiences
Demonstrated ability to work independently and exercise judgment in setting work priorities is required
Ability to work effectively with supervisors and colleagues in a multicultural and diverse environment
Demonstrated ability to work in team environments is necessary
Demonstrated proof reading and editing skills
Knowledge and experience with basic software (Google Suite and Microsoft Office, including Excel, Word, and PowerPoint) is required
Bachelor’s degree is desired
Experience running reports in a CRM database and data entry are desired
DART, Business Objects, Tableau, Salesforce, and Concur experience a plus
Previous experience in higher education development is desired
This position may require some evening and weekend work.
