Detailed Job Description
The Staff Assistant for Human Resources is the first point of contact to RIT for many individuals. The individual in this role represents RIT and its values and as such has a duty to greet everyone in a welcoming, courteous and efficient manner (either in person or on the phone). In addition, the Staff Assistant is responsible for a variety of administrative tasks in support of the Human Resources Department, therefore accuracy and confidentiality are critical to this role. Responsibilities include but are not limited to:
Greet walk-in traffic to HR and assist with their needs. Answer Multi-line telephone system and direct calls as necessary. Answer general employment, recruitment and benefits inquiries
Support all HR staff administratively and clerically. Process and distribute all incoming paperwork to appropriate HR staff members throughout the day. Track, enter and record data and information as needed
Assist new employees with new hire paperwork (I-9, Tax forms, parking, etc) verifying all documentation received.
Train new students on front desk coverage and procedures. Maintain and update procedures.
Ensure compliance with all federal regulations as it pertains to the verification of employment eligibility and the accurate completion of the I-9. Act as primary back-up for required documentation for foreign national hires.
Serves as the point person for background screening process, submitting, monitoring, and maintaining data and communications for all background checks
Please note: The schedule for this position will be four (4) days a week (32 hours), approximately 8:30 AM - 4:30 PM, with flexibility on what day within the 5 day work week is taken off with the exception of Monday which will be a required work day.
Required Minimum Qualifications
2+ years office administration experience
1+ years of customer service experience
Proficient in MS office; Outlook, Word, Excel and Power Point
Proficient in web navigation
Demonstrated excellent customer service skills
Ability to multi-task and handle the high volume of in-person, phone calls and emails received in a high paced environment
Outstanding interpersonal demeanor and communication skills to welcome a diverse clientele with the ability to convey a warm and welcoming atmosphere at all times.
Ability to exercise tact in working with difficult clients and sensitive issues
Ability to maintain confidentiality with multiple clients
Maintain quality service level by following University standards
Positive attitude and demeanor, exhibiting professionalism at all times
Familiarity with other HR processes and regulations such as I9 completion, background checks and Unemployment insurance
