The administrative secretary provides administrative coordination of departmental seminar series and special events / programs and administrative support to the departmental office. Coordinates four seminar series with ~85 visitors per academic year and a handful of special lectures, events, and programs to include arranging for travel, meetings, scheduling, and receptions. Creates announcements and weekly newsletter (This Week in Biology) and distributes to department and campus constituents.
Reports to the Director of Fiscal, Budget, and Business Affairs and performs a variety of non-routine tasks related to the successful completion of the daily support of the department. Provides support for the department's conference rooms, video conferencing equipment, printers, fax machines, copy machines, et cetera. Provides support for processing reimbursement requests and assistance with the payroll when needed. Serves as moderator for nearly 20 listservs, drafting and approving messages for distribution. #LI-POST
High school diploma or GED and three years of experience in an office environment.
Excellent interpersonal and communication skills, including a customer service orientation and ability to interact and communicate effectively with a wide variety of individuals. Strong organizational and multitasking skills, including ability to prioritize, meet deadlines, and pay attention to detail while handling multiple tasks at a time. Ability to handle stressful situations and maintain confidentiality of records. Proficiency in Microsoft Office Suite including Word, Excel and Outlook. Willingness to provide coverage for other employees.
Bachelor's degree. Two years of accounting or bookkeeping experience. Experience in scheduling meetings, travel, event planning, and IU systems.
Working Conditions/Physical Demands:
Frequent traveling to and from Jordan Hall and Myers Hall.
