Job Summary/Basic Function: Job Summary: The Office of Admissions and Recruitment seeks a Study Abroad assistant to Join a growing team of dedicated domestic and International education professionals. Reporting to the Director of International Recruitment and Study Abroad, the Administrative Associate Sr. supports the Lamar University Office of Admissions and Recruitment by assisting with the Implementation, administration, and monitoring of marketing tools, processes and communications; maintaining applicant and student Information; providing information and resources to both Internal and external customers; and providing general administrative support to the office.
Manages financial matters for Study Abroad and its portfolio of faculty-led study abroad programs in compliance with Texas State University System financial procedures
Requests bids and coordinates expenditures to foreign and domestic vendors through Cardinal Purch, collecting tax forms as needed
Tracks student program fee payments In Banner
Principal contact for the Cashiering Office and the Digital Communications Coordinator responsible for the Marketplace site
Process payment of the Study Abroad Fee Grant and other scholarships
Trains faculty on financial procedures related to foreign travel and assists with travel vouchers following the completion of programs abroad
Prepares and distributes various confidential correspondence
Answers and screens departmental phone calls
Coordinates and schedules meetings and events
Prepares and submits travel related documents;
Responsible for purchasing office supplies and equipment for office and staff
Monitors all inventory and technology
Other duties as assigned
Minimum Qualifications: Required knowledge Skills/Abilities: Effectively communicate verbally and in writing; Provide effective and responsive service to customers and contacts; Perform all assigned tasks efficiently and accurately and create and maintain accurate records; identify and resolve problems or Issues with students, staff and faculty; Maintain confidentiality of records and information; possess strong organizational and conceptual skills, with an eye to detail
Qualifications: Working knowledge of, and the ability to apply, business terminology, spelling, grammar and punctuation. Ability to compose effective correspondence 1-3 years of secretarial/administrative support experience Experience with Microsoft Office with emphasis on Excel and mall merge
