Administrative Secretary Senior - Department of Biology 12652
The Department of Biology in Eberly College of Arts and Sciences is seeking applications for an Administrative Secretary Senior. The incumbent will provide professional administrative support and perform a variety of routine and complex assignments for faculty, staff, and students for a large and complex department. The position provides daily assistance to faculty, staff and students related to the guidelines and policies of the Mountaineer Marketplace and MyExpense programs.
In order to be successful in this position, the ideal candidate will:
Answer incoming calls for faculty, staff, postdoctoral associates, and graduate students. Provide information to callers and/or refers callers to the appropriate faculty or staff person, as necessary.
Receive and greet visitors, determine the nature of the visit and direct the visitor to appropriate personnel.
Serve as a source of information in explaining department and university policies and procedures.
Type complex letters, reports, and class related material. Responsible for copying, scanning, filing, and shredding activities within the department. Sort and distribute mail.
Receive and sign for all departmental deliveries. Manage a detailed log of all deliveries received in the department and contacts the recipient of the delivery. Ensure that chemical and perishable shipments are attended to immediately.
Provide administrative support to the Academic Advisor. Schedule advising appointments for approximately 300 students. In addition, the incumbent creates and manages student files.
Create and manage spreadsheets and databases.
Serves as the back-up to the Office Administrator in the areas of procurement and travel.
Other duties as assigned.
Pay Grade: 12
Associate's degree; or an equivalent combination of experience and education.
Two years experience.
Administrative Office Experience.
Microsoft Office Suite Experience.
Demonstrated ability to problem solve and use critical thinking skills
Ability to use, or learn to use, Mountaineer Marketplace and MyExpense software.
Demonstrated ability to maintain high level of established customer service.
Demonstrated ability to use computer software such as Microsoft Office, and create spreadsheets (mastery of Word, Excel, and PowerPoint).
Demonstrated excellent interpersonal skills and professionalism.
