Department: STUDENT HEALTH & COUNSELING SERVICES - 068070 Department Description: Student Health and Counseling Services (SHCS) provides primary care, mental health, acute care, laboratory, pharmacy, health education and counseling services to registered UC Davis students. SHCS serves approximately 300 patients per day during the school year. The mission is to provide campus health and wellness resources that enable students to successfully achieve their academic goals and life-long wellness. SHCS has approximately 160 staff including managers, senior professionals, professional and support staff, student employees, interns and post doc residents. SHCS is accredited by AAAHC (Accreditation Association for Ambulatory Health Care), and IACS (International Association for Counseling Services). SHCS mental health staff are an educationally diverse group of licensed psychologists, psychiatrists, masters-level therapists, and pre-and postdoctoral trainees, dedicated to assisting students and enriching the university community by providing individual counseling, group services, educational programs, psychological consultation, workshops, and other types of outreach services. Counseling services are offered at no cost to registered students.

Job Summary: Under general supervision, provide executive administrative support to Counseling Services Director. Serve as primary contact/liaison for administrative matters and respond to inquiries and meeting requests from internal, external and system wide campus departments. Manage a complex calendar, prepare correspondence and reports as well as provide a high level of executive assistance on confidential and sensitive issues of high visibility providing discrete communication, which is critical for program risk management, patient privacy, medical care, campus public health and environmental health. Provide administrative support to Counseling Services Management Team.
Physical Demands: -Lift materials weighing up to 20 lbs.
-Work in multiple locations and move from building to building.
-Sit at a workstation for extended periods of time viewing a computer monitor and using a keyboard.
Work Environment: -Sign a statement of understanding of the Dependent Adult/Elder Abuse Reporting Requirement.
-Position is a mandatory reporter for known or suspected child abuse and requires that a statement acknowledging the requirement to report child abuse be signed.
-Occasional overtime may be required.

Minimum Qualifications: -Experience performing administrative support functions in an executive-level office environment.
-Experience managing electronic calendars and schedules.
-Experience using independent judgment, problem-solving skills and originality.
-Interpersonal communication and skills to interact in person, in writing and on the telephone with a wide range of people.
-Experience in interpreting policies, regulations and processes.
-Experience with various software applications (Microsoft Word, Excel, Power Point, database, interactive web environment software).
-Skills to handle multiple tasks and complex projects simultaneously with conflicting priorities and deadlines.
Preferred Qualifications: -Knowledge of the Student Health & Counseling Services unit and its role in the Student Affairs Division, campus goals and objectives, policies and procedures and the campus organization.
-Knowledge of university policies and procedures, campus-wide offices and resources, and administrative staff contacts.
-Experience in working in a fast-paced environment with constant interruptions.
