Job Description Summary
This position reports directly to the Director of Gifts Accounting & Administration and Records to ensure that the Records Office provides timely, accurate, and courteous service to DAR staff and members of the Penn community. Provides support for the DAR Records Office electronic and paper document library. This position images and indexes all gift transactional documentation in an accurate and timely manner along with other correspondence and electron files. Also coordinates projects, works closely with the schools and centers and is responsible for regular outreach.
In addition, this position will perform Gift Accounting & Administration duties when needed such as online giving, creating records, receipts, lockbox, school & center visits, and mail.
Document Imaging for DAR, schools and centers; index and upload all documents timely and accurately. Included all paper and electronic files
Retrieve and manage the distribution of print documents from DAR Records to the University Records Center.Â Fulfill requests for folders from the Records Center, tracking requests and retrieval, imaging as files are returned to the Records Office.Â Pack documents and arranges for their transfer to long-term storage at the University Records Center, including completion of transfer forms.
Assist with the distribution of DAR Penn mail and returned mail; includes research and updating Atlas timely and accurately
Assist in the establishment of procedures and policies to ensure effective service provided in a timely manner.
Works closely with Gifts Accounting & Administration and performs gift processing during peak periods and as needed.
Assist with routine daily responsibilities of DAR Records; answers phones, excellent customer service, must be punctual and demonstrate initiative.Â
Required to work Alumni Weekend, Winter Break and when needed Homecoming.Â
The work hours are Monday â“ Friday 9:00 a.m. to 5:00 p.m.
Associates degree preferred and 1-2 years of Â related experience required, or equivalent combination of education and experience. Ability to communicate effectively and professionally, both verbally and in writing.Â Demonstrated understanding of a document library and document imaging best practiced.Â Demonstrated technical knowledge of document imaging computer hardware and software.Â Ability to handle confidential information appropriately.Â Highly organized and detail-oriented with high level of initiative, commitment to follow through, and willingness to assume responsibility.Â Demonstrated ability to manage and prioritize projects in a timely, effective manner.Â Demonstrated ability in hiring, managing and delegating work to others preferred, specifically student and temporary workers.Â Â Ability to handle high volumes of work.Â Detail-oriented; self-starter.Â Ability to work effectively as part of a team and encourage others to collaborate.Â Enthusiasm for providing the highest level of service.Â Demonstrated capacity for creativity and taking initiative for new protocols that improve efficiency and effectiveness.
