Department: CIVIL & ENVIRONMENTAL ENGR - 024020 Department Description: The Department of Civil & Environmental Engineering is a large academic department in the College of Engineering and provides instruction and research in five specialty areas of engineering. The department has 40 faculty, 3 adjunct professors, 4 professional research engineers, 25 Professional Scientists and technical staff, and 11 administrative staff. The department has one of the largest undergraduate and graduate programs in the college with approximately 520 undergraduates and 240 graduate students enrolled. The annual budget is approximately $15 million with 400+ active accounts and an eclectic research enterprise externally funded by federal, state and private sponsors, and individual/corporate donors.

Job Summary: Under supervision of the CAO, independently provide leadership, management, and analytical support for academic personnel. Responsible and accountable for academic personnel functions including policy interpretation, recruitments, appointments, advancements, retentions, and changes in status. Coordinate J-1, H-1B and Permanent Resident visa process for international guests, researchers and faculty.
Responsible for a full range of business operations coordination including front desk reception activities, event planning, and travel arrangements for department guests. Assist CAO and Chair in the coordination of special projects as needed.
Physical Demands: Sit for prolonged periods of time at a computer terminal.
Move and transport boxes and files weighing up to 20lbs.
Work Environment: Work in open office space with frequent interruptions.

Minimum Qualifications: Experience providing administrative support in a professional office environment.
Experience organizing work effectively to achieve timely progress on multiple simultaneous projects, distributing effort appropriately, meeting deadlines, and maintaining a high level of productivity in an environment with frequent interruptions.
Experience using computer applications for word processing, spreadsheets, electronic mail, internet, calendar/scheduling.
Experience writing and editing documents and correspondence for accuracy, consistency of format and grammar, and professional appearance and style.
Written and oral communication skills to prepare and edit various academic documents that include technical and scientific terminology.
Experience scheduling travel arrangements, including domestic and international travel, arranging accommodations, and monitoring travel activity and expenses.
Experience coordinating department events including conference room reservations, and catering arrangements.
Interpersonal communication and customer service skills to effectively interact with a diverse group of faculty, staff, students and others.
Preferred Qualifications: Knowledge of University, College and Department(s) policies and procedures governing the process of Academic recruitment, appointment, appraisal, merit and promotion, and other relevant actions.
Knowledge of and experience with documentation related to international scholar visas and permanent resident applications.
Knowledge of and experience with processing Academic recruitment, appointment, appraisal, merit and promotion, and other relevant actions at the University or College level.
Knowledge of and experience with MyInfoVault (MIV), online voting system for merits/promotion actions, and AP RECRUIT.
Knowledge of UCD Academic Personnel Manual and Unit 18 MOU.
Knowledge of and experience working with Kuali Financial System (KFS).
Knowledge and skill to update department website using WordPress or similar software.
Knowledge of campus resources for referring students and event planning.
Analytical skills to understand, interpret, and communicate information from a wide variety of sources.
