Provide complex and diversified administrative support with minimal supervision such as: Anticipate and follow up on the relevant needs of the CSE Department and its Chair, proactively and independently solve problems and handle issues regarding the various functions of the Department such as institutional and personal communications, scheduling and supervision of events, monitoring, expending and administering various funds, ensuring timely and accurate student funding, supervision and implementation of student registration and matriculation, and other departmental functions.
The Assistant is expected to: 1.Research, plan, develop, coordinate, and implement critical operational procedures to provide strong support to the Chair, Faculty, Staff and Students of the Department. 2.Identify and understand issues, problems, and opportunities pertaining to finances, personnel, scheduling of classes, procurement, and reporting and assessment; determine, propose, and develop possible solutions; implement and follow up on the solutions, especially in the software adopted by the University such as Banner, AggieMart, AggieAccess, etc.; reconcile and verify records and inventories, and write reports and recommendations; 3.Manage, monitor, and implement various budgets in accordance with the goals of the fund owners and in compliance with established norms. Identify potential or actual problems and propose and implement solutions. 4.Compile, assimilate, organize, and analyze printed and electronic information regarding various functions of the department; summarize findings, recognize patterns, generate reports, and propose data-based improvements and solutions. 5.Compose correspondence; develop, review and edit presentations and documentation; independently research and analyze associated issues and/or compile materials needed for presentation and/or decision making purposes regarding labor, budget management, facilities and inventory management, program expenses within current funding levels, as well as projecting future expenses for program continuation, development, and implementation. 6.Explain, interpret, and promote the Department's mission, program, services, procedures to all stakeholders including current and students and applicants, Faculty, industry, alumni, and funding agencies; Present ideas clearly and effectively in various forms, adjusting the expression to meet the needs of the audience; 7.Understand, follow, and analyze program services, policies, procedures, laws, rules, and regulations and apply this knowledge to improve the performance of the Department. 8.Negotiate and manage with approval the needs of individuals or groups requesting time with the Chair or resources from the Department; use independent judgment to keep supervisor informed of all matters that require his/her attention; respond effectively and independently to inquiries from students, faculty, external constituents, and staff. 9.Propose, manage, and contribute to public relations for the Department such as student recruitment, the Departmental website, pamphlets, alumni relations, and fund raising; travel to attend college fairs, workshops, conferences, while exercising confidentiality in accordance with policy and applicable state, federal and local laws. 10.Coordinate and implement complex travel arrangements and reimbursement transactions including travel by faculty and staff to conferences, and travel by student or employee groups participating in activities and competitions and exchange programs; 11.Administratively support students in orientation, registration, comprehensive and special examinations, graduation, and matriculation 12.Perform other appropriate tasks as specified by the Chair
High School diploma or equivalency and three years of progressively responsible administrative/office management experience; or graduation with an associate’s degree in Secretarial Science, Business Administration, or a related discipline and one year of progressively responsible administrative/office management experience; or bachelor’s degree, preferably in Business Administration or a related discipline; or equivalent combination of training and experience..All degrees must be received from appropriately accredited institutions.
Bachelor’s degree plus 2 years of administrative experience. An MS degree will be highly valued. This role requires discretion, confidentiality, independent judgment, strong analytic skills, and the ability to multitask. It also requires excellent communication skills, especially in gathering information, answering questions, and processing student and faculty in-person requests, as well as email and phone inquiries. Must have a professional demeanor with the ability to provide excellent customer service to a diverse audience. Must be a team player and have excellent collaboration skills and the ability to persuade and organize people.
An ideal candidate will have a solid understanding of resources across the University that are available for both students and department faculty. Event planning, financial experience and an understanding of academic and curriculum planning are preferred.
