Job Description Summary: Provide administrative support expertise for the campus while performing moderately complex administrative support functions. Serves as the campus financial aid and tuition assistance representative. Performs various duties that assist students in the development of academic programs and services. Reports to the Director or his/her designee.
Minimum Qualifications Two years of college level coursework and/or equivalent experience Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint, and Internet skills Exceptional customer service skills and proven experience Detail oriented with strong analytical skills Strong verbal and written communication skills and editing/proofing skills Strong effective conflict resolution skills Positive attitude with the ability to maintain effective working relations Strong organizational skills Able to manage multiple tasks in a fast-paced environment Able to exercise sound judgment and maintain confidentiality Able to take initiative, be autonomous and self-motivated Able to quickly learn state, federal, and VA regulations and procedures regarding financial aid as well as university policies and procedures
Preferred Qualifications Bachelors degree Previous higher education experience Experience with social media Experience with publication software (e.g., Microsoft Publisher, Photoshop, Canvas, etc). Knowledge of Webster Universitys practices and procedures
Essential Duties Serves as the campus financial aid representative including responding to financial aid inquiries, explaining financial aid guidelines, and processing of all financial aid paperwork. Must understand and be able to communicate federal financial aid guidelines and procedures including filing FAFSA forms. Works closely with main campus Financial Aid office. Maintains positive community relations and training by interacting with local FASFA representatives and financial aid counselors at other colleges and by attending job-related workshops, seminars, and conferences. Serves as campus third party billing representative including responding to inquiries, explaining processes, and coordinating with main campus Bursars Office. Must understand tuition assistance benefits, particularly military TA benefits, and be able to communicate guidelines and procedures. May oversee campus operations within pre-defined parameters in the absence of the Director. Interfaces with students, staff, faculty, and visitors concerning campus matters. Must be able to independently handle a wide range of situations and conflicts involving the clerical and administrative operations of the campus. Communicates policies and procedures to constituents inside and outside the Webster community. Maintains and updates highly confidential records, regarding students, personnel, and administrative matters. In close collaboration with the director, may schedule classes and assign faculty to classes each term. As needed, performs receptionist duties and maintains filing and recordkeeping system for campus records. May processes student applications. Composes and edits routine correspondence for campus and university communication. May requisition supplies, printing, maintenance, etc; makes recommendations regarding the annual estimated expenses and purchases of major items requiring the research and proposals of such items. May assist in monitoring and maintenance of budget; maintains records and receipts for expenditures. Prepares vouchers, purchase orders, travel forms, and other materials for processing. Plans and coordinates campus activities and special events. Participates in recruitment events to promote the Universitys degree programs Recommends new processes and procedures to support the campus. Works in a team environment that includes supporting other administrative staff and/or providing guidance to other administrative staff. May supervise other office personnel.
