Required Qualifications (as evidenced by an attached resume):
HS Diploma/GED. One (1) year of full-time experience working in a Procurement office or similar setting. Experience with Microsoft Office Word and Excel.
Associate's Degree (foreign equivalent or higher) . PeopleSoft experience. Prior experience working at a SUNY or other university/college environment.
Brief Description of Duties:
The Clerk I will be responsible for assisting with reports and paperwork for equipment purchases and various clerical duties for Property Control. The selected candidate will have strong communication skills and attention to detail.
Generate daily State & Research Foundation Reports.
Query Wolfmart and SUNY Bi system for invoice payment verification, to then be able to enter EQP purchases on RAM for month end reconciliation and tracking.
Generate monthly reports on issued assets for State, Research Foundation, University Hospital, SBF, and LISVH for supervisor's review.
Assist with monthly reconciliation of State, Research Foundation, and University Hospital reports.
Assist with generating inventory reports and mailing list for departmental yearly annual inventory verification.
Reconcile returned Department Annual Inventory Reports for Albany FYE.
Create and complete 703 paperwork for Hospital, State, Research Foundation, and SBF equipment purchases.
Complete 703's for Visa Amex purchases.
Filing of 703's and related backup documents.
Issue Asset Decals for Stony Brook Foundation (SBF), State, Research Foundation, University Hospital, and Long Island Veterans Home (LISVH).
Input asset information on SUNY system for Campus Residence and LISVH.
Assist with maintaining the fixed asset database for the Campus Department Inventory on RAM.
Visit departments to verify and affix decals for capital assets purchased on State, Research Foundation, SBF, and Hospital funding.
Other duties as assigned.
