To be fully be fully engaged in providing Quality/No Harm, Customer Service and Stewardship by providing exceptional database management oversight and research coordination. The Database and Prospect Research Analyst acts as Foundation liaison managing all Foundation information technology activities with Health First IT, as well as software vendor liaison for Foundation fundraising applications.
The Foundation Database and Prospect Research Analyst is responsible for managing large data sets of constituent information from a variety of sources, analyzing and presenting data and trends, and providing data entry services as needed, including creating records and updating biographical information on constituents, updating and managing data related to prospect management system, and verifying demographic information in the Raiser’s Edge relational database. The Database and Prospect Research Analyst provides direct oversight and management for all aspects of information collection, management and analysis with the Foundation, including: prospect research, financial reporting and gift processing and recording.
The Foundation Database and Prospect Research Analyst must skillfully and accurately utilize the full capacity of the Raiser’s Edge relational database and manage its ongoing use to ensure accuracy and usefulness of donor and prospect records, and perform analysis of records in support of fundraising activities and analysis.
Manages and supervises the daily operation of the Foundation database (Raiser’s Edge) which tracks contributions, donor and prospect information.
Responsible for ensuring the accuracy and integrity of the Foundation’s database, including data input and output, technology management and end-user training and support.
Provides technical and analytical support to the Foundation Team by assisting with the creation of reports, ensuring that staff is trained in the proper use of the database, developing and implementing policies to guide data entry, and making sure that the database effectively captures donor information and generates accurate financial and analytical reports.
Serves as the first point of contact for Foundation Team with questions about or problems with the database, and will serve as a liaison to vendors and the Health First IT Department in maintaining hardware and software and troubleshooting problems.
Works closely with the Annual Giving Specialist to analyze internal data related to annual fund programs in order to effectively target constituent and to assess the effectiveness of annual fund appeals, engagement strategies and donor retention.
Works closely with major and planned giving team members to provide prospect research reports, donor profile reports, and other reports/support in using Raiser’s Edge NXT.
Works closely with the Director of Major and Planned Giving to support the Major Gift Meetings through scheduling meetings, agenda preparation, prospect and analytical reports as needed, including notes and follow-up tracking.
Works closely with Administrator of Special events to develop appropriate solicitation lists, record non-deductible portion of event gifts, and provide accurate list of donors for inclusion in recognition materials (programs, signs etc.)
Sets up online giving links for various appeals and coordinates with both Foundation and Marketing staff to ensure accurate and timely availability of information for web updates.
Supervises, manages and trains gift entry staff to ensure donor gifts are properly entered in Foundation database
Provides training and technical support for Foundation database, including conducting semi-monthly “Lunch and Learns” and individual or group training as needed.
Serves as a resource to others in the department, the organization and donors.
Makes decisions within the scope of the job and consistent with Foundation and Health First policies.

Performs other administrative duties and special projects as needed. This includes support for the Foundation’s special events, which may occur outside of normal work hours.
Maintains a clean, neat, professional and organized work area.
Establishes and reviews data entry protocols to ensure information consistency and database integrity. Notifies Foundation leadership of any concerns, recommends appropriate resolutions and leads effort to resolve concerns as needed.
In consultation with Health First IT Department, ensures procedures to safeguard data security, including PCI DSS compliance.
Comfortably and effectively translates between end user needs and database output so as to accurately translate requests into effective queries and reports for internal and external audiences.
Researches and reports on prospective donors utilizing Foundation database, ResearchPoint and other subscription or publicly available resources, as requested.
Completes daily review of patient screening for Foundation donors and prospective grateful patients, with appropriate notification to assigned gift officers.
Responsible for regular deposits, monthly reconciliation and reporting of Foundation revenue (both cash and production), and fiscal year-end review of temporarily restricted donations, outstanding pledges and pledge write-offs.
Works closely with Finance Department to ensure all financial reports are received, answers questions and resolves discrepancies/variances.
Provides monthly report of Foundation metrics as outlined in Foundation Dashboard and department goals.
Provides updates on year-to-date status as needed for presentations to senior leadership, Boards or other audiences.
Prepares formal prospect research reports for gift officers in support of qualification and cultivation activities.
Maintains and updates tracking of planned gifts and grants in Raiser’s Edge relational database.
Implements process for timely pledge reminders as needed.
In consultation with Director of Operations and Sustained Giving and Health First Finance Department, interprets and applies applicable IRS tax laws and regulations regarding gift administration.
Manages and supervises data entry of gifts to the Foundation so that the processing, tracking, reporting and acknowledgement of gift are accurate and performed within 48-hour target window.
Handles data with discretion and complete confidentiality. Maintains high level of information security pertaining to system access and record retention and assists in developing standard operating procedures and security policies as needed.
Works closely with the Donor Relations Coordinator to accurately and effectively recognize the generosity of Foundation donors, conveying the impact of their giving on the health and well-being of the Brevard County community.
Provides outstanding customer service to all internal and external constituents which results in a positive and professional image of the Foundation.
Builds and maintains positive working relationships with colleagues, vendors, and internal and external constituents.
Provides administrative support for Foundation Board of Trustees meetings as needed.
Bachelor Degree in Business, Information Systems or related field (or 3-5 years of experience in a not-for-profit fundraising environment with emphasis on management of donor database systems).
Advanced working knowledge of Blackbaud’s Raiser’s Edge relational database, preferred.
Extensive skills and knowledge of computers and networking systems.
Advanced database management skills, including management of support staff.
